Getting Started with Shopify Channel Configuration in Tradebox

If you use Shopify as part of your ecommerce setup and rely on Tradebox for order and stock management, it is essential to configure the Shopify channel correctly. A well configured channel ensures smooth order processing, accurate stock control, and clear accounting records. In this guide, we will walk through how to set up the Shopify channel within Tradebox so that your systems work in harmony.
Accessing the Shopify Channel Settings
To begin, open the Channels section within Tradebox. From there, either double click on your Shopify channel or select it and choose the edit option. The channel configuration screen is divided into six separate tabs. These are Details, VAT, Orders, Sales, Statuses, and either Sage 50 or Xero, depending on your accounting software.
Each tab contains specific settings for a different aspect of the integration. You can move between tabs freely and make changes across several of them before pressing Save. There is no need to save after each individual tab unless you want to.
Details Tab: Core Setup Options
In the Details tab, you set the main properties of your channel. You will choose a channel name, which appears throughout Tradebox reports and menus. You will also see the channel currency. This cannot be changed once it has been set, so it is important to confirm that it matches your Shopify store.
You will then enter your Shopify store’s API details. These include your store URL, API key, and password. You can generate these details by creating a private app in your Shopify account. There are full instructions available on the Tradebox website for generating Shopify API credentials.
Order tags are available to help you control which orders are downloaded into Tradebox. You can specify particular tags if you only want orders with those tags to be imported. There are also options for automatically placing orders on hold and for allowing Tradebox to create new product records when an unfamiliar SKU appears in an order.
Other key settings here include how stock updates are handled, whether invoice dates are based on the order date, payment date or shipping date, and whether order numbers from multiple Shopify stores should include a prefix to avoid duplication.
You can also tell Tradebox whether the prices from Shopify include VAT, and whether item properties such as variants should be included in product descriptions. Stock upload settings include options to stop negative or zero quantities being sent, and whether bundled product quantities should be calculated based on individual items.
VAT Tab: Handling Taxes
The VAT tab allows you to configure how Tradebox manages tax on Shopify orders. You can choose whether carriage (shipping) VAT should be based on the highest rated item in an order. There is also an option to apply a single tax code to all order lines, overriding any product specific tax codes.
For sales to EU customers, Tradebox offers four different methods for handling VAT, including applying destination rates or treating the sales as zero rated. The correct choice depends on your VAT registration status and where your customers are based.
Orders Tab: Order Management
In the Orders tab, you can view all orders that Tradebox has downloaded from your Shopify store. Each entry includes the order date, Tradebox order number, Shopify order number, customer name, order value, and current status. You can filter and sort this list to find specific orders and double click on any order to see full details.
Sales Tab: Performance Insights
The Sales tab presents a graph showing up to three years of monthly sales figures from this Shopify channel. This is a helpful tool for identifying seasonal trends, comparing performance year over year, and reviewing how your business is growing.
Statuses Tab: Syncing Order Statuses
Shopify uses two types of order status: payment status and fulfilment status. In the Statuses tab, you can map Shopify payment statuses such as paid, pending or refunded to the corresponding Tradebox statuses. You can also select which Shopify statuses should trigger order downloads and which should be posted to your accounts.
If an order is marked as fulfilled in Shopify before being downloaded, Tradebox will treat the order as despatched. This is important to understand if you are using despatch dates for reporting or automation.
Sage 50 and Xero Tabs: Accounting Integration
If you have connected Tradebox to Sage 50 or Xero, you will see an extra tab for configuring your accounting settings. Each accounting package has its own setup process and dedicated guide available on the Tradebox help site. Once connected, Tradebox will be able to post orders directly into your accounts system, helping to streamline your bookkeeping.

Taking the time to properly configure your Shopify channel in Tradebox can save you hours of work and reduce the risk of errors.
