If you are using Tradebox to manage your eBay sales, you can also automate the process of downloading and posting your eBay fees. Whether you want to download your monthly invoice total or keep track of fees linked to individual orders, Tradebox provides a flexible way to stay on top of your eBay charges.

Setting Up eBay Fee Downloads in Tradebox

To get started, navigate to the Details tab of your eBay sales channel in Tradebox. You will see two options for downloading fees:

1. Download eBay Monthly Fees: This option allows you to download your monthly invoice from eBay. It includes recurring fees such as your eBay subscription, but not the individual order-related charges.

2. Download eBay Order Fees: Selecting this option will download fees connected to specific eBay orders. These are retrieved as each order is downloaded into Tradebox.

Note that downloading PayPal fees cannot be used at the same time as downloading eBay order fees since are mutually exclusive. If you are already downloading order fees, the PayPal fee option will be greyed out. Equally, due to a thirty-day limit imposed by eBay’s API, it is not possible to retrieve fee data older than the most recent month.

Posting Fees to Your Accounting Software

If you plan to post your eBay fees to an accounting package, there are a few extra steps depending on the software you use.

For Sage Users

In the Sage 50 > Nominals tab, you can choose whether to post individual fee transactions or summarised ones. Individual fees are posted automatically during the download cycle. However, if you opt to post a summary, this will need to be done manually. You will also need to fill in the Marketplace Fees and eBay Order Fees sections by selecting a nominal code, a bank account, and a tax code. The department field is optional; if left blank, Tradebox will use the default department.

For Xero Users

Ensure that eBay has been set up as a contact in Xero. In the Xero > Accounts tab, you can complete the Marketplace Fees section by choosing an account, bank account, and tax rate. Due to transaction limits in Xero, all fees must be posted manually. Individual transaction posting is not available.

Viewing and Posting eBay Fees

Once you have enabled fee downloads, they will be brought into Tradebox automatically whenever the sales channel is active and the data service runs. After some fees have been downloaded, you can view them by going to the Reports screen and selecting eBay Fees from the dropdown menu.

This report displays a breakdown of both monthly and order-specific fees. Monthly fees include charges such as your subscription, while order fees relate to sales and advertising charges.

Double clicking on any entry provides a more detailed breakdown of the included fees. If you are posting manually, you can either select individual fees or choose all, then click the To Accounts button to send them to your chosen accounting software.

Easily track and post your charges!
